Booking Open Quotes Overview

Lumber/Contractor POS users only.

Booking Open Quotes allow you to keep track of quantity and price for items for specific customers. You can have up to 10 Booking Open Quotes per customer. Multiple occurrences of same item on the same Booking Open Quote, and multiple occurrences of same item on multiple Booking Open Quotes, are both permitted. Selling of Booking Open Quote items is supported on a sale, credit memo, or order; it is not supported on transfers, orders created from bids, backorders, or Bills of Material (BOM).

During POS posting, the system searches the customer's Booking Open Quotes for the item being posted. If it finds the item on a Booking Open Quote that has not expired, and with quantity still available for that item, the system prompts the clerk to use the Booking Open Quote price. The quantity posted is debited to the Booking Open Quote item as quantity shipped. The next time you sell to this customer, the quantity available to book will be reduced by the quantity shipped on the last transaction.

If an item is on more than one Booking Open Quote, or is listed on the same Booking Open Quote more than once, the system searches for and allocates from the first occurrence, and then moves to the second occurrence, first searching through the same Booking Open Quote, then moving to the next one until all of the quantity is allocated. POS posts separate lines for each quantity allocation. If the quantity being sold exceeds the quantity left available to book, the remaining quantity posts on another line, using the customer’s normal pricing for this item.

For example: You create three Booking Open Quotes for a customer. The first Booking Open Quote has 10 of item XXX at a price of 5.95, the second has 20 of item XXX at a price of 4.95, and the third has 30 of item XXX at a price of 3.95. If a customer comes to purchase 40 of this item, the system would post line 1 for 10 @ 5.95, line 2 for 20 @ 4.95 and line 3 for the remaining 10 at 3.95.  You would now have 20 left to book at 3.95 the next time the customer orders more of this item, provided the transaction occurs before the Booking Open Quote's expiration date. (Note: If the customer had ordered 70 rather than 40, line 3 would have posted with a quantity of 30 @ 3.95, and the remaining 10 would post with the customer’s normal pricing.)
