Open Order File Report (ROO): Report Example

This topic provides an example of the Open Order File Report (ROO) and definitions of the fields on the report. Report Example

The following is an example of the report. Click a field in the report to take you to the field definition.

Report Field Definitions

The following is a list in alphabetical order of the fields on the ROO report.

$ Shipped— Total amount invoiced and shipped against this estimate or bid.

Bkord Qty— Number of items backordered.

Clerk ID— Name of the clerk who posted the transaction.

Cost-Shpd— Cost of all merchandise invoiced and shipped against this estimate or bid. This amount is the cost of goods from the Daily Inventory Update Report (RDI). This field includes manual changes to line item costs on orders and the Use Current Cost When Invoicing Saved Transactions field in Options Configuration-MIV.

Note: If you add line items to an order created from a bid, that amount is not included in this field. If you use the Change key on lines originally on the bid, that changed amount is included in this field.

Created— Date the transaction was created in POS.

Cust #— Customer number on the transaction.

Customer Name— Customer name on the transaction.

Del-Date— Delivery date from the field on the POS Header screen. The default is the creation date.

Exp-Date— Date when the estimate or bid expires, from the field on the POS Header screen.

GP%— Actual gross profit percent for merchandise shipped against the estimate or bid. The calculation is: (Shipped - Cost) divided by Shipped.

Job #— The job number on the transaction.

Job Name— The job name for the job number on the transaction.

Options— The option codes used when running this report. For a definition of each Option, click here to go to the help topic.

Order Deposit— Amount of deposit taken against this order and not yet invoiced.

Ord/Est#— The document number for this transaction.

Orig Cost— Total cost of goods for this document based on the line item costs as they existed when the transaction was created.

OV— Over volume. An O in this field indicates an over-volume estimate or bid. Over volume occurs when the $-Shipped field is greater than the Tot-Sales field.

P / PCT— P is the pricing indicator, from the field on the POS Header screen. PCT is the percent for pricing indicators D, G, or M.

Phone Number— Phone number for the customer on the transaction.

Ship To Address— Address to ship the merchandise, from the field on the POS Header screen.

Ship To Name— Name of the person to ship the merchandise to, from the field on the POS Header screen.

Short ID— The short identification of the customer name/number, from the field on the POS Header screen.

Sp-Ord Vendor— The vendor code for the special order transaction, from the Source Vendor field on the POS Header screen. Used by GPO-Generate Purchase Orders from Orders report.

Special Instructions— Notes entered for this transaction, from the field on the POS Header screen.

ST— Store.

Tot Sales— The total sales dollars for this transaction. It is the sum of the Ext field for all line items on this transaction.

Trx— Transaction type. B = Bid, E = Estimate, O = Order, S = Special Order (or COD), OQ = Open Quote, TR = Transfer Adjustment - Request, TS = Transfer Adjustment - Shipped, TC = Transfer Adjustment - Completed
