Some merchants charge an annual fee for customers to participate in their loyalty program. The Loyalty Subscription Fee and Renewal feature allows you to set up a SKU to charge the fee and also reminds the POS clerk to notify the customer when their subscription is close to the expiration date (or has expired).
When using this feature each new loyalty customer will have a Loyalty Expiration Date. Once it is enabled, the date will be set to one year from the date the customer is added as a new loyalty customer in POS or MCR QuickAdd. This date can also be manually entered or changed in MCR on the Misc tab in the Loyalty Subscription Expiration date field. This date can also be changed for a range of customers using RCCU.
In POS, if the loyalty customer's Loyalty Expiration date (renewal date) has been reached or passed the clerk will be asked if the customer wants to renew their loyalty subscription. If they answer Yes, the loyalty subscription SKU entered in option 9868 will be posted to the transaction and the Loyalty Expiration Date will be updated. This date will be updated to a year from the Loyalty Expiration Date if renewed within the renewal period (before the Loyalty Expiration Date), or if already expired it will be set to a year from the date of renewal.
If this prompt is answered No, the loyalty customer is still eligible for ‘loyalty only’ pricing/promotions and their purchases will still accumulate. Since the membership has expired, those purchases are not converted to points (by CALCPNT) until their loyalty subscription has been renewed.

The customer’s subscription expiration date also displays in the ‘Loyalty Summary’ dialog in POS for Local Loyalty users who use Subscription Renewal (Option 9867 “Loyalty subscription renewal on system” is Yes). This dialog gives a summary of the customers’ loyalty status including their reward history. You can display this dialog by clicking on the ‘Misc Menu’ in Point of Sale and selecting H “Enter Loyalty #/View Loyalty Summary”, and then click on the <Summary> button. You will see the new field “Renewal Date”.
Please review the limitations below before using the Loyalty Subscription Fee and Renewal feature:
The Loyalty Subscription Renewal and Pesticide License Expiration are mutually exclusive and cannot both be used on the same system. This is because they both use the same date field for expiration – this field in MCR has the label “Loyalty Subscription Expiration” when Option 9867 is Yes, otherwise it is “Pesticide License Expiration”.
To set the ‘subscription expiration date’ on a single or range of existing loyalty customers, you can set them one at a time on the MCR Misc tab or use function RCCU. The first year’s expiration date is only set by the system when adding a new loyalty customer.
