Use this procedure to create a credit memo transaction to return items in POS.
If you want to return line items on a sale transaction rather than creating a credit memo transaction, click here for the procedure.
Note: To require a signature on a return for a cash transaction, set option 5481 “Print a store copy receipt for returns” to Yes. A signature will be required, and a separate store copy of the return will print. You must also have a receipt printer set up.
In the Customer box, type the customer’s account number, if necessary.
Press Credit.
(Optional) In the Apply To box, type the document number of the original sale.
Press enter.
In the Item (SKU) box, type the SKU number of the item being returned and press display.
In the Quantity box, type the quantity being returned.
Note: If the item being returned is a Tally 2 item, do not type a quantity in the Quantity box.
Check the price that displays. Press Tab to the Price box and type over it if it is different from the price on the customer’s receipt and press enter.
Note: If the item being returned is a Tally 2 item, skip this step. You will verify price in step 9.
On the Type of Return menu, type R for a regular return, D for a defective return, or E for an exchange for defective. Press enter.
Note to Catalog users only: If you select D or E, then the Price Exception Report (RPE) run with Option X (Defective Returns Only) will indicate if the defective item is Policy A. For True Value and Ace, Policy A items will be marked with a Y. For Do It Best (DIB), Policy A items will be marked with an A, B, or H as per DIB's Policy A codes.
If the item being returned is a Tally 2 item, the "Enter Qty/Length" dialog box displays. Do the following:
In the Qty box, enter the quantity being returned.
In the Length box, enter the length of the piece(s) being returned, and press ENTER. The dialog box closes.
In the Price box, enter the price at which the piece(s) was sold.
On the Type of Return menu, type R for a regular return, D for a defective return, or E for an exchange for defective. Press enter. The enter Qty/Length dialog box displays again.
If you have additional lengths being returned, repeat the steps in this bulleted list. Otherwise, press ENTER to close the dialog box.
Repeat steps 5 through 9 for any additional items being returned.
Press total.
Press tab to move to the appropriate refund method type, fill in the amount and press enter.
Like a sale, you can combine the refund methods.
To credit the entire amount to the customer’s account, press enter.
What happens next depends on your terminal setup. Usually a receipt prints on the receipt printer. You may also see a window that asks if you want to print an invoice for this transaction.
Entering the customer’s account number ensures that the correct prices and discounts are applied to the credit memo.
