Terms You Should Know

The following terms occur throughout the Physical Inventory subsystem, as well as in Online Help.   It is important that you understand these terms so that you can better understand what the Physical Inventory subsystem can do for you.

Audit File

The audit file stores records of changes to the Quantity On Hand field in Inventory Maintenance.  You use the Physical Inventory History Report (RPH) to print this information.  

Audit Records

The records stored in the Audit File.

Count File

The Count File stores records of the SKUs that will be physically counted.  You use the Physical Inventory Report (RPI) to load SKU records from the Inventory Maintenance into the Count File.  

Count Records

The SKU records that are in the Count File.

Count Sheets

Count sheets are printed with the Physical Inventory Report (RPI).  You use them to record physically counted SKU quantities.

Counts

Quantities physically counted or quantities electronically recorded by the system.

Differences

The amounts you enter in the Manual Diff field in Physical Inventory Posting (PIP).  (see also Variances)

Physical Quantity

An SKU's actual quantity on hand that physically exists in your store at a given time.

Reconciliation

The act of reconciling or resolving a quantity on hand variance with the Physical Inventory Report (RPI).  

Shrinkage

The fluctuation (usually decline) of an item's quantity on hand.  In order to maintain an accurate shrinkage count, the Epicor Eagleā„¢ system tracks both the positive and negative variances.

Among other reasons, shrinkage occurs due to breakage, theft (both internal and external), weather damage, misplaced stock, outdated stock, receiving errors, labeling errors, counting errors, or unknown causes.

Shrinkage History

The record of all incidents when shrinkage has occurred.  These records are maintained in the Shrinkage History File (MPH).

Shrinkage History File

Stores records of SKU shrinkage incidents.

System Quantity

The quantity the system displays (in Inventory Maintenance) as the quantity on hand of an SKU.  This may not be the same as the actual physical quantity on hand (see Physical Quantity)

Variances

The amounts by which the Quantity on Hand field of an SKU's inventory record (in Inventory Maintenance) must be increased or decreased in order to accurately reflect the actual amount physically counted.  In simple terms, "variance" is the difference between the system quantity and the actual physical quantity.
