To use the Cash Drawer Locking feature, you may want to set up clerks and managers in one of the following ways:
Method 1: Set all three Cash Drawer Locking security bits--1032, 1033, and 1034--to No. This means if there is no drawer available, they can’t use that station.
Method 2: Bit 1032 = Yes, and bits 1032 and 1034 both No. This means if there is no drawer available, the clerk can choose "proceed without using a cash drawer" and will be able to take the tender types entered in option 9800 “Tender Types allowed when no cash drawer available.”
POS Signon automatically assigns the first available cash drawer to that clerk and locks it for exclusive use by that clerk until they release the drawer.
If both drawer 1 and drawer 2 are “locked,” and a third clerk tries to sign on to POS, the system warns the 3rd clerk that no drawer is available, and prevents the clerk from accessing POS (Note: The same applies to a station with only one drawer if it is locked and a second clerk tries to sign on) .
Managers can be set up in one of two ways. You may want to use a combination of both setups, where the owner and managers who are highly trusted are set up using method 1, and less trusted managers are set up as 2:
Method 1: All three security bits 1032, 1033, and 1034 are set to Yes. This means that if there is no drawer available, the manager can choose to "proceed without using a cash drawer" (in which case the tenders in option 9800 apply) or they can use a clerk’s locked drawer.
Method 2: Security bit 1032 set to Yes, and bits 1033 and 1034 both set to No. This means that if there is no cash drawer available, the manager can choose to "proceed without using a cash drawer" (in which case the tenders in option 9800 apply), but the manager cannot use a clerk’s locked drawer nor release a locked drawer.
Note the following:
POS Signon does not automatically assign the first available cash drawer to the manager. The reason is that they may be a "‘rover," working registers as necessary to get the line moving, and they may not have their own till.
In POS Signon does display a drop-down showing the current locked/unlocked status of that station’s drawer(s), allowing the manager to select how they want to proceed. This drop-down shows, in order:
Available drawer(s)
Locked drawer(s) (Note: The manager must have bit 1034). If the manager selects to use a locked drawer and option 9906 is set to "Clerk," startup needs to open and update the cash drawer totals record for the clerk who has that drawer locked. Otherwise, if option 9906 is set to "Manager," the totals record for that manager is updated (initially created if one doesn’t already exist for them), creating a situation in which one cash drawer needs to be reconciled to two cash drawer totals. This is why Epicor strongly recommends setting option 9906 to "clerk," rather than "manager."
if the manager selects the No Sale Menu option to “Open Cash Drawer” (manager must have bit 549) then either:
If the manager has bit 1033, the system asks if they want to release the drawer and can select to do so or not, and the cash drawer should open regardless how they answer the question about releasing the drawer.
If the manager doesn't have bit 1033, then the cash drawer should open (no prompt to release it).
Proceed without using cash drawer. This only appears in the drop-down if the manager (or clerk) has bit 1032. Selecting this option allows the manager (or clerk who has this security bit) to sign in and complete transactions, but ONLY for those tender types selected in Option 9800. If the manager selects the No Sale Menu option ‘Release cash drawer,’ it will only release the drawer lock--it will not physically open the drawer. If the manager needs to open the drawer, he/she either needs a physical key, or he/she must sign on to POS and select to use that locked drawer (requires security bit 1034) and then use No Sale option to "Open Cash Drawer."
Note: If the manager selected either choice 2 or 3, if POS is set to timeout and the timeout occurs, or if POS is set up to Return to Clerk (return to the "Clerk" field after every transaction), then upon signing back into POS the manager must re-select how he/she wants to proceed. If the manager had selected choice 1 (use an available drawer), a re-signon does not ask him/her to re-select an option.
