Temporary Serial Numbers: Using

Use the following procedure to use the Temporary Serial Number feature. This process includes:

• assigning temporary serial numbers
• printing price labels with the temporary serial numbers
• deleting temporary serial numbers and adding true serial numbers
• adding user manual’s location (if applicable)

1. When receiving a PO in the Purchasing and Receiving window, if you have a Tally S items that requires a temporary serial number, recall the line item and manually post the received quantity (even if it's the same as the quantity you ordered). This triggers the "Add Serial Number" dialog to display.

2. Press<Temp> to automatically generate temporary serial numbers. The system generates a temporary serial number for each unit of the item you received. For example, if you ordered 4 units, the system would generate 4 temporary serial numbers. Click here for more information about how the system generates temporary serial numbers.

   Temporary serial numbers are generated in the format TMPppppplllss, where:

   • ppppp = PO number. The PO number is the right-most 5 characters in a numeric PO number, or the left-most 5 characters of an alphanumeric PO number.

   • lll = the current PO line number.

   • ss = a sequence number which corresponds to each unit received. For example, if you received 4 units,  the sequence numbers would be 01, 02, 03, and 04.

   For example, if you ordered 4 units of SKU 2391 on line 1 of the PO, the temporary serial numbers would be TMP0239100101, TMP0239100102, TMP0239100103, and TMP0239100104.

3. After the serial numbers are generated, the work area is cleared. Repeat steps 1 and 2 for each Tally S item received.  

4. To print price labels for the temporary serial numbers, print the Price Label Printing Report (RLA) before Finalizing the PO with the Receiving Report (RRP). On the RLA Options page, do one of the following:

• To print labels immediately:
  • select Label to Use: 6 - "Windows Labels."
  • Choose Quantity Type A-Quantity Being Received.
  • On the From/To page, enter the PO number in the PO Number From and To fields.

In a moment, price labels for the items with a temporary serial number print, using the price label layout as specified in option 5812.

• To generate a file for Label Manager,
  • Select 4-Generate File for LabelWorks/Label Manager.
  • When you are ready to print the labels, display the Label Manager, click Import, and select the file you importedNote that the File Name contains specific information to help you locate the correct file. Using our example: LA = price labels (RLA), 0331 = month/day (3/31), the date RLA ran, 01 = number of occurrences of RLA for that date, and
    539 = terminal number from which RLA was run..

1. • Proceed with selecting and printing the labels.

     1. To print labels for all items, click All/None to place a check mark in all boxes. Or, click the box for the individual items that you want to print.

     2. Click Print to display the Select Label Profile dialog. Click to select a profile and then click Open.

     3. From the Print Labels dialog, select the Printer, Starting Column, and Starting Row. If desired, click Preview to preview the labels on screen.

     4. Click OK to print the labels at the selected printer.

5. Run RRP option F to finalize the PO.  

6. When the true serial number of an item becomes known, delete the temporary serial number from Serial Number Maintenance, and add the true serial number. If applicable, enter the user manual’s location in the Reference field.  

7. In the Serial Number Maintenance dialog, click the <Label> button and follow the prompts to print the label.

When the item is sold at POS by scanning the label, the serial number will print as a descriptor (comment) line.
