By selecting various Shrinkage Options on the RPH report, you:
establish the format and content of audit reports
close the current, period-to-date (PTD), and year-to-date (YTD) shrinkage history
cycle selected year-to-date history that have been closed and set to zero
Important! Do not select a closing option (Shrinkage Options C, P, or Y) simultaneously with a final RPH audit report or a final RPI reconciliation report. Doing so could cause damage to your data.
The following table shows which Shrinkage Option combinations are invalid.

A = Use Average Cost. Calculates the dollar values with the Average Cost rather than the Replacement Cost.
C = Close Current Cycle. Sets the Current Quantity and Current Incidents fields in the Physical Inventory Shrinkage viewer (MPH) to zero. You must use either print sequence 5 (Location) or 6 (Shrinkage Type) whenever you select shrinkage option C.
Note: The Shrinkage History fields: Current, Period to Date, and Year To Date, are all updated simultaneously when an incident occurs. You decide what time frame the Current field represents by selecting Option C on a regular basis (presumably after each count session). The Period to Date and Year to Date fields are not changed at all by Option C; they are assumed to be cleared monthly and yearly.
G = Show Each SKU's Detail Total Only (Use with H). This option prints two lines of information by SKU for four time periods (current, period-to-date, year-to-date, and last year's YTD). The following information prints:
date of last incident
location of last incident
current, period-to-date, and year-to-date incidents
quantity
dollar value
last year's year-to-date incidents
If you combine Option G with Option O, one line of period-to-date and year-to-date information prints. Option O will save you paper if you aren't interested in printing the current and last year's YTD information.
If you use print sequence 1, 2, 3, or 4, inventory information prints for each SKU and history detail prints or accumulates for each type of shrinkage.

If you use print sequence 5 (location), one subheading line prints for each location, followed by one line of detail for each SKU having a history record for this location.
If you use print sequence 6 (shrinkage type), one subheading line prints for each shrinkage definition, followed by one line of detail for each SKU having a history record for this shrinkage type. SKU detail information includes:
SKU number and description
department
class
fineline
shrinkage location, incidents, quantity, and value
H = Print History Detail for Each SKU. This option prints two lines of information by shrinkage type for four time periods (current, period-to-date, year-to-date, and last year's YTD). The following information prints:
date of last incident
location of last incident
current, period-to-date, and year-to-date incidents
quantity
dollar value
last year's year-to-date incidents
If you combine Option H with Option O, one line of period-to-date and year-to-date information prints. Option O will save you paper if you aren't interested in printing the current and last year's YTD information.
J = Suppress Pre-Page. Do not print the preliminary page showing which options and ranges have been selected.
O = Only Show PTD and YTD. This option can be used in combination with option G or H to save paper when you aren't interested in printing current and last year's information. If you combine with Option G, make sure you use either print sequence 1, 2, 3, 4, or 5.
The information that prints is grouped by:
period and YTD incidents
period and YTD quantities
period and YTD values
P = Close Current and PTD Cycles. Use this option at the end of every month to set Current and Period-to-Date shrinkage history fields to zero. You must use either print sequence 5 or 6 whenever you select Option P.
Note: The Shrinkage History fields: Current, Period to Date, and Year To Date, are all updated simultaneously when an incident occurs. You decide what time frame the Current field represents by selecting Option C on a regular basis (presumably after each count session). The Period to Date and Year to Date fields are not changed at all by Option C; they are assumed to be cleared monthly and yearly.
S = Print History Summary by Type of Shrinkage. This option prints a block of summary information for each department, vendor, class, or location, depending on the Printing Sequence you choose. If you combine this option with Option C, P, or Y, you must use printing sequence 5 or 6.
Do not use this option in combination with Option O, T, H, or G (see the table at the beginning of this topic for more information about invalid shrinkage option combinations).
Do not answer the Subtotals field with a "Y" when using Option S.
The information that prints includes:
shrinkage type and definition
the number of SKUs involved for each shrinkage type and definition
totals for current, period-to-date, and year-to-date incidents, including quantity and dollar value
totals for last year's YTD incidents, including quantity and dollar value
T = Print Totals Only. This is a standard print option.
Y = Close Year End. Use this option at the end of the year to cycle the YTD shrinkage history into last year's YTD shrinkage history. The current, Period To Date, and YTD shrinkage history is then set to zero.
You must use either print sequence 5 or 6 whenever you run Option Y.
Note: This option will delete any history record that is left blank after updating. That is, if a record has zeros in Current, Period to Date, and Year to Date before Option Y is used, the processing would leave all fields blank (including Last Year) after updating. You will delete such records by running RPH, Option Y.
Warning: If RPH Option Y runs twice in a row, all records will be deleted from the Shrinkage History file (MPH).
X = Exclude Last Yrs YTD. Use this option in combination with Option H or S to exclude Last year's YTD information from printing.
