Receiving a Payment for Future Invoices with Discounts

Use the procedure below if you receive a payment for a future transaction (the transaction has not yet appeared on a statement), and that transaction has an eligible discount. If there is no discount on the transaction, then this procedure is not necessary. The purpose of this procedure is to prevent the discount the customer is already taking from showing up as part of the eligible discount amount on their statement. Note that this procedure can only be done in the ROA window (not in POS).

  1. Use your normal procedure to add the payment in ROA.

If the future payment is for a Balance Forward account, but the check is also paying prior month's invoices, process the payment as if you received two checks. For example, if the check is for $500.00 and it pays one future invoice for $100.00 plus four prior invoices totaling $400, enter the future payment as if you received a separate check for $100.00. Then process the remaining $400 "check" as a standard ROA payment.

  1. Before you click Post or press ENTER to post the payment, click . This places the code "PPD" in the Codes field of the payment, which tells the system to exclude the discount amount from the prepaid transaction from appearing on the statement.

  2. Post the payment.
