Setting up G/L Budgets

Use the Budget Maintenance window to set up budgets to help you better manage your business.  By setting up different budgets for different areas and situations in your store, you can get a better idea of your financial status. You can print budgets on your financial statements so you can compare them to your actual account totals.

First, you must set up a "budget code" for each budget you enter in the General Ledger application. Then you can create a budget, either from scratch or by copying it from another budget or a comparative. When copying budgets or comparatives, you can use a percent change for the budget you are creating. For example, you may want the new budget to be 15% higher than the budget or comparative from which you're copying.

If you have a multistore system and are using multiple general ledger directories, you can copy budgets from one store to another.

 Creating a Budget from Scratch

  1. If you haven't already, set up a budget code for the budget you are about to create.  Every budget you set up must have a corresponding Budget Code.

  2. Display the Chart of Accounts window.

  3. Click GoTo, then click Budget Maintenance.

  4. At Budget Code, enter the budget code for which you want to set up budget amounts.  Note:  if you haven't set up a budget code

  5. At Fiscal Year Ending, enter the year for which you are setting up budget amounts.

  6. At Account Number, enter the first account number for which you want to enter budget amounts.

  7. In the column of boxes to the right of the periods of your fiscal year, enter the budget amounts. For credits, enter negative amounts. For debits, enter positive amounts.

  8. Click Add.

  9. (Optional) To print budgets, run the Print Budgets (RGBU) report.

Copying a Budget from Another Budget (with or without a percent change)

  1. If you haven't already, set up a budget code for the budget you are about to create.  Every budget you set up must have a corresponding Budget Code.

  2. Display the Chart of Accounts window.

  3. Click GoTo, then click Budget Maintenance.

  4. Click Copy, then click Copy Budgets. The Copy Budgets dialog box displays.

  5. At Copy From Budget Code, enter the budget code from which you want to copy.

  6. At Fiscal Year Ending, enter the year from which you want to copy budget information.

  7. At Locational Values, enter the subaccount number from which you want to copy budget information. If you don't use subaccounts, you can skip this field.

  8. At Copy To Budget Code, enter the budget code to which you want to copy.

  9. At Fiscal Year Ending, enter the year to which you want to copy budget information.

  10. At Locational Values, enter the subaccount number to which you want to copy budget information. If you don't use subaccounts, you can skip this field.

  11. (Optional) At Percent Change, enter a percentage increase or decrease. For example, if you want the new budget to be 10% higher than the budget from which you're copying, enter 10 in the Percent Change field. If you want it to be 10% lower, enter -10.

  12. Click OK.

  13. (Optional) To print budgets, run the Print Budgets (RGBU) report.

Copying a Budget from a Comparative (with or without a percent change)

  1. If you haven't already, set up a budget code for the budget you are about to create.  Every budget you set up must have a corresponding Budget Code.

  2. Display the Chart of Accounts window.

  3. Click GoTo, then click Budget Maintenance.

  4. Click Copy, then click Copy Comparative to Budget. The Copy Comparative to Budget dialog box displays.

  5. At Copy From Fiscal Year Ending, enter the year from which you want to copy comparative information.

  6. At Locational Values, enter the subaccount number from which you want to copy comparative information. If you don't use subaccounts, you can skip this field.

  7. At Copy To Budget Code, enter the budget code to which you want to copy.

  8. At Fiscal Year Ending, enter the year to which you want to copy comparative information.

  9. (Optional) At Percent Change, enter a percentage increase or decrease. For example, if you want the new budget to be 10% higher than the comparative from which you're copying, enter 10 in the Percent Change field. If you want it to be 10% lower, enter -10.

  10. Click OK.

  11. (Optional) To print budgets, run the Print Budgets (RGBU) report.

Copying a Budget to Another Store

  1. If you haven't already, set up a budget code for the budget you are about to create.  Every budget you set up must have a corresponding Budget Code.

  3. Click GoTo, then click Budget Maintenance.

  4. From the Budget Maintenance window, click Copy.

  5. Click Copy Budgets from Another Company.

  6. At Copy From Company, enter the store from which you want to copy.

  7. At Budget Code, enter the budget code from which you want to copy.

  8. At Fiscal Year Ending, enter the fiscal year from which you want to copy.

  9. At Locational Values, enter the subaccount number from which you want to copy. If you don't use subaccounts, you can skip this field.

  10. At Copy To Budget Code, enter the budget code to which you want to copy.

  11. At Fiscal Year Ending, enter the fiscal year to which you want to copy.

  12. (Optional) At Percent Change, enter a percentage increase or decrease. For example, if you want the new budget to be 10% higher than the budget from which you're copying, enter 10 in the Percent Change field. If you want it to be 10% lower, enter -10.
