Maintaining the Authorized to Charge Names

From the Customer Maintenance window, you can maintain (add, change, merge) a list of names and corresponding images that are authorized to charge for an account. The list displays at POS.

Set option 3509 "Allow access to customer contact fields in Customer Maintenance" to Yes to use this procedure.

Click on one of the following sub-topics:

Adding a Name

  1. Display the Customer Maintenance window.

  2. Display the customer account.

  3. Click the Names tab.

  4. Click Add (the underlined link along the bottom of the window) to display the Add dialog.

  5. At Name, type the name of the person authorized to charge for this account.

  6. In the Show in POS field, enter Y.

  7. Enter the appropriate information in the other fields. For more information about these fields, see the topic "Setting Up Customer Contacts." If you loaded image files (pictures), then at Image File, select the file that corresponds to this name. If a picture is not available, you can load it later.

  8. Click OK. The name (and picture, if available) is added to the list of names on the Names tab.

  9. Repeat the process to add more names. When you are done, click Cancel to close the dialog.

Deleting a Name

  1. Display the Customer Maintenance window. Click the Main tab.

  2. Display the customer account.

  3. Click the Names tab.

  4. Click the name that you want to delete (the name you click will be highlighted).

  5. Click Delete (the underlined link along the bottom of the window).

  6. A confirmation dialog displays. Click Yes. The name is deleted from the list.

Merging Names

Use this procedure to merge (copy) a list of names to another account. If the other account already has a list of names, the names are added to the account. Existing names are not deleted.

  1. Display the Customer Maintenance window. Click the Main tab.

  2. Display the customer account that has the names you want to copy.

  3. Click the Names tab.

  4. Click the first name in the list so that it is highlighted.

  5. Click Merge To (the underlined link at the bottom of the window) to display the Merge dialog.

  6. In the dialog, at Customer, type the Customer number to which you want to copy the names and press Enter. Or, select the account from the drop-down list. The customer information displays.

  7. In the dialog, click Merge. A confirm dialog displays; click Yes to merge (copy) the names.

  8. The authorized to charge names that are copied display in the Results box in the dialog. Click Close to close the dialog.
