Generating e-Statements

(e-Statements users only)

Once you have completed all the setup for e-Statements, use the following procedure to generate and send them. Just like paper statements, you generate them by running the Statement Report (RSM). You may print regular statements and generate email statements in the same statement run. Note that E-Statements does not include collated invoices in the email, and only an HTML statement is attached (or optionally embedded in the email). If you have the iNet Customer Access (Accounts Online) feature, your customers can view past invoices by logging into your iNet site.

  1. If you are printing statements as well as sending email statements, be sure to change the Form Used in Printer field in MPS to "STMT." Note: If you are spooling statements (you select S—Spooler Only in the Print To field), skip this step.

  2. From the Eagle Browser, click Reports Menu, Accounts Receivable Reports, A/R Statements (RSM).

You MUST use Eagle for Windows in order to generate E-Statements. You cannot generate e-Statements from Legacy function RSM.

  1. Set all the desired RSM options, as you normally would. Note that Option E includes the line-item descriptions for each invoice on the statement, but not the line item pricing.

  2. On the page of RSM:

NOTE: If you want to include dunning messages with statements emailed to customers, you must have the "Print Statements" flag set to Y in Customer Maintenance for those customers. If the Print Statements flag is set to N, emailed statements will not include dunning messages.

  1. Click Run.

The system creates a file containing all the statements to be emailed. This file is compressed and placed in the file transfer manager directory. The File Transfer Manager checks this directory every 15 seconds for new files to send. When finished sending e-Statements, it sends a summary email to the "from email address" you set up in Options Configuration, containing a list of all the accounts to which statements were successfully emailed, and also a list of any accounts to which statements couldn’t be emailed. Any accounts in the latter group probably don’t have an email address entered in the Notes tab of Customer Maintenance for the account.
