Use the following procedure to view and/or print archived POS transactions (sales, credit memos, and estimates) in the QuickRecall viewer.
If you don't want your employees to be able to view customers' credit card numbers, set the option "Mask Credit Card Number on Customer Receipt?" (ID# 1140) to B in Options Configuration. This will mask the customer's credit card number on both the customer's receipt and the store's copy, as well as mask the bankcard number (credit, debit, or gift card) in the Totals section of QuickRecall. Security bit 757 "ability to view bankcard number in QuickRecall" (and optionally bit 689 "View full customer credit card number") can be set to Yes for any user who you want to be able to view bankcard numbers in QuickRecall. This bit allows the user to use Misc menu option 5-"View Bankcard Number in Quick Recall."
(Lumber/Contractor POS users only) If you want to see the actual gross profit percent for line items on QuickRecall transactions, set the option "Display Running GP%" (ID# 220) to Yes in Options Configuration.
All Eagle for Windows "viewers," including the QuickRecall viewer, display information in a grid. These grids have sorting, filtering, and totalling options, allowing you to refine and manipulate data in the grid so you can pinpoint the information you need. For more information about working with grids, click here.
To allow a user to change the Customer PO Number or Reference field on QuickRecall documents, assign the user security bit 741 "Ability to change Customer PO# or Reference on QuickRecall documents." To use this feature in QuickRecall, the user simply clicks Misc and selects A-Change Ref/PO#.
You can perform a search by entering a value in any of the following boxes:
in the Customer field, type or select the customer for whom you want to display archived transactions. If the customer has jobs, you can select a job or all jobs in the Job field.
If you select a single job, the invoices for that job display in descending date order. If you select all jobs, the invoices display by job and then by date (i.e. job 1 invoices in date order, followed by job 2 invoices in date order, etc.).
in the SKU field, enter an SKU, Serial Number, or Lot (Eagle for the Aftermarket users can look up by Line, by simply entering the line number in the Line field) and all the archived transactions that contain the information you entered display.
in the from/to Date fields, enter a starting and ending date to display all archived transactions created within that range. To access the from/to Date boxes, click Lookup, click Cust/Date Range, and click OK.
in the Store box, enter the store for which you want to display archived transactions.
Press enter to refresh the list.
Use the up or down arrow keys to highlight the archived transaction you want to view, and click Display to view it, or click Select to reprint, fax, or view the transaction.
Total Weight is not included on a reprint from QuickRecall.
If you've displayed a transaction, you can also:
view SKU detail by using the up or down arrow keys to highlight a SKU and pressing Display.
view detail about the customer account by clicking Drill.
You can click Misc to display or change certain information about transactions:
To view a list of invoices associated with an order, select Lookup Invoiced Orders from the Misc menu. Enter the order number in the Order Number box, fill in any of the other boxes to expedite your search, and click OK.
To change the serial number of an item on an archived transaction, display the transaction (see steps 2-4 above), click the line with the serial number, click Misc, and select Change Serial Number. Type the new serial number and click OK. (Note: you must have security bit 584 to change the serial number).
If you have Document Imaging, select View Document Image from the Misc menu to see a virtual copy of the invoice. Click Print if you want to print a copy.
If you have Bill of Materials (BOM), you can select View Bill of Materials from the Misc menu to see the detail of the BOM.
To view deposit information, select View Deposit Activity from the Misc menu.
To view all bank cards/gift cards that were used on the transaction, select View Bankcard Number(s). You must have security bit 757 to do this (and optionally bit 689 to view full credit card information).
If you have Document Scanning, you can click select View Scanned Document from the Misc menu to view any scanned documents associated with the transaction.
If you have Order Change Log, you can select View Order Changes from the Misc menu. This displays the Order Change Log Viewer, carrying in the Order number and Store number if the currently highlighted QuickRecall invoice is from an invoiced order.
To view refund information, click Misc and select View Customer Returns.
To view other columns you may want to display (email address, tax code, order number, etc.), right click any column heading and choose Select Columns to View. For more information about selecting columns, click here.
To view items purchased by a particular customer:
click Lookup and select "Cust/Date Range."
fill in the desired customer/job, and optionally enter an SKU and/or date range to limit the search (JCON Eagle for Windows users can look up by Line, by simply entering the line number in the Line field)
click the "Details" checkbox, and press ENTER.
You can then use the grid sorting features to help you analyze the items purchased. For example, you can double-click the "Units" column to display the units sold from highest to lowest.
To display a customer's SKUs or transactions that have a gross profit percent (GP%) equal to or less than a given number.
If you've displayed SKUs in the grid or you've checked the "Details" flag, GP% is relevant to the SKU GP%. For example, if you enter 15 in the GP% field, and the "Details" flag is checked, the grid only shows details where the SKU GP% is 15% or less (including negatives).
If the "Details" flag is unchecked, GP% is relevant to the transaction's GP%. For example, if you enter 15 in the GP% field, and the Details flag is unchecked, the grid only shows those transactions where the transaction GP% is 15% or less (including negatives).
Note: To view all items or transactions with a GP% less than .00 you must enter a .01 in the GP% field. This is because the client has no ability to distinguish the difference between blank and .00 in this field.
To delete an archived transaction, click on it in the grid, click Delete, and click Yes to confirm the deletion. Note: you must have security bit 183 to delete a transaction.
