Create a Transfer

This topic describes the procedure steps for creating a transfer (a status R, transfer request). To complete this procedure, you should have an idea of what items you want to transfer and which store you are going to transfer the items to (the To-store). You can create a transfer at any store, it does not have to be the From-store or the To-store. However, if you take a deposit on the transfer transaction, then you must be locked in to the From-store.

Creating a Transfer

  1. Display the POS Posting screen. For information about entering POS, click here.

  2. Click Start Trx (F2) to display the Start Transaction Menu. Click Interstore Transfer.

  3. Enter the customer number for the transfer. For help with looking up customer accounts, click here. The account you select must be set up as a transfer account, or the message displays: This is not a valid transfer customer.

  4. If the Transfer Information dialog displays, fill in the From-store and click OK. This is the store that will ship the merchandise, the store whose QOH will be decreased by the transfer. If you do not yet know which store will provide the merchandise, you can leave this field blank for now and fill it in later. The To-store field and Status are display only, you cannot change these fields. The To-store is the receiving store, the store whose QOH will be increased by the transfer. If there is an asterisk in this field, it indicates that the receiving store is not a store on your system.

  5. If the Transfer Options dialog displays, review the update options. Change them if necessary for this transfer that you are creating and click OK.

The options default to your settings in Options Configuration. Update Sales History is this field in Options Configuration: Update Inventory Sales History at From-store. Update To-store Cost is this field: On Transfers Update Inventory Cost at To-store.

  1. (Optional) Review the Header screen and change any of the information. Click Customer (F11) and then click Header (F11) to display the Header screen. Change or fill in any of the fields that apply to the transfer you are creating.

  2. Post the items and quantity that you want to transfer, using any of the same procedures and keystrokes you use to post items to a POS transaction. This includes looking up items, setting prices, applying discounts, voiding items, selecting a lot number if the item you're selling has a lot number, etc.

If you're transferring a Lot item, you can choose the Lot now or choose it later, but you must select it before the transfer can be marked as "shipped." If the Lot exists in the to-store, its quantity is increased by the amount transferred. If the lot doesn't exist in the To-store, the Lot is allocated in the "to" store, and a comment  "Transferred from store X Transfer #Y" is added to the transaction (X= the from-store and Y= the Transfer number).

  1. When done posting items, click Total (KPad+). The Transfer Status dialog displays with a status code of R (request).

  2. To finish the transaction as a Request without printing a copy, click OK. To finish the transaction and print a copy, click Print. The system assigns a document # to the transfer and the transfer (status R - request) is complete.   3. To finish the transaction and immediately change it to Shipped, click the down arrow next to Transfer Status and click S - Shipped. To finish the transaction without printing a copy, click OK. To finish the transaction and print a copy, click Print. The Total Due window displays, if the To-store is set up to pay for transfers.   4. To finish the transaction and immediately change it to Complete, click the down arrow next to Transfer Status and click C - Complete. If you get message, click here for more information. To finish the transaction without printing a copy, click OK. To finish the transaction and print a copy, click Print. The Total Due window displays, if the To-store is set up to pay for transfers.

  1. If the To-store is set up to pay for transfers and the transfer status is S or C, the Total Due window displays. Complete the transaction as you normally would a POS transaction.
